DocuVoice Inc. (“DocuVoice,” “we,” “our”) operates the DocuVoice platform at docuvoice.com and related services. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
1. Information We Collect
Account information
When you create an account we collect your name, email address, and a hashed password. If you sign up through a third-party provider (e.g. Google), we receive the profile information that provider shares.
Documents you upload
Files you upload (PDF, DOCX, CSV, XLSX) are stored in encrypted object storage. We process documents to create text chunks and vector embeddings that power search and question-answering. We do not read or use your document content for any purpose other than providing the service to you.
Conversations
Questions you ask and the answers DocuVoice generates are stored so you can access your conversation history. Voice audio is transcribed in real-time and is not stored after transcription completes.
Usage and device data
We collect standard log data: IP address, browser type, operating system, referring URL, pages visited, and timestamps. We use this to maintain security, debug issues, and understand aggregate usage patterns.
2. How We Use Your Information
- Provide, operate, and improve DocuVoice
- Process and index your documents for search and analysis
- Respond to your questions with cited, accurate answers
- Send transactional emails (account confirmation, password resets, billing receipts)
- Detect and prevent fraud, abuse, or security incidents
- Comply with legal obligations
We do not use your uploaded documents or conversations to train machine learning models. Your data is yours.
3. Third-Party Services
DocuVoice uses third-party services to operate. These include cloud infrastructure providers, payment processors, and AI model providers. Each sub-processor processes only the minimum data required and is bound by data processing agreements. A current list of sub-processors is available upon request.
4. Data Retention
We retain your account data and conversation history for as long as your account is active. When you delete a document, its content and embeddings are permanently removed within 30 days. If you delete your account, all associated data is purged within 30 days, except where retention is required by law.
5. Security
Documents are encrypted at rest (AES-256) and in transit (TLS 1.2+). Access to production systems is restricted to authorized personnel with multi-factor authentication. We conduct regular security reviews and follow industry-standard practices.
6. Your Rights
Depending on your location, you may have the right to access, correct, delete, or export your personal data, or to object to certain processing. To exercise any of these rights, contact us at privacy@docuvoice.com.
7. Cookies
We use essential cookies for authentication and session management. We do not use advertising or third-party tracking cookies.
8. Children
DocuVoice is not directed at children under 16. We do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this policy from time to time. If we make material changes, we will notify you by email or through the service before they take effect.
